Who we are

Information we collect

We use names, business contact details, company and site information, enquiries, quotations, correspondence, job and payment records, feedback, and reports or photographs you provide. Website services also process IP addresses, browser and device information, cookie identifiers, pages visited and interactions such as enquiry submissions or telephone-link clicks.

Information comes from you, your organisation, authorised job contacts, referrals, public business sources and business-contact services such as Apollo. We can explain the source of a business contact's details on request. Please provide only information relevant to your enquiry and files you are authorised to share. Optional uploads and marketing subscriptions are not required to make an enquiry.

Why we use information

We use information to respond to enquiries, prepare quotations, arrange and deliver work, maintain technical and accounting records, handle feedback or disputes, protect our services and manage business communications.

Where you contract personally, we rely on the contract or steps you request before a contract. For contacts acting for an organisation, our basis is our legitimate interest in managing that business relationship. We also rely on legitimate interests for proportionate administration, service improvement, security and relevant business marketing where permitted. Legal obligations apply to records we must retain. We use consent for optional website analytics and advertising, opted-in newsletters, and other electronic marketing where consent is required.

Marketing, feedback and publication

You can unsubscribe from marketing or object to direct marketing at any time by using the message's opt-out route or contacting us. We retain the minimum suppression information needed to respect your choice. We use service feedback to understand and resolve issues. Reviews are optional and may be positive or negative. We ask separately before publishing an identifiable testimonial or case study. Refusing marketing or publication permission does not affect your service.

Who receives information

Information is available to people who need it to arrange and deliver work, including relevant engineers or subcontractors, professional advisers and authorities where necessary. Our business services include:

  • Squarespace for website hosting, forms and website communications.

  • Microsoft/Outlook for email, and Google Workspace for business files and collaboration.

  • Google Analytics, Google Ads, Google Tag Manager and reCAPTCHA for website measurement, advertising measurement and spam prevention.

  • Xero for accounting; Apollo for business prospecting and outreach; Metricool for social publishing; and Windsor for connected reporting.

  • OpenAI tools, including ChatGPT, and connected services for AI-assisted administration and drafting.

Providers may process service, security or account information for their own purposes under their privacy terms. External services such as WhatsApp, social networks and review platforms apply their own notices when you choose to use them.

AI-assisted administration

We use AI tools to help review business correspondence, organise information and draft content. Relevant contact details or message content may be included. On 28 September 2026, we switched off model improvement for our ChatGPT Pro account. Under this setting, new conversations are not used to train OpenAI models. This does not reverse any earlier use of content. If feedback is submitted to OpenAI, the associated conversation may still be used for training. OpenAI continues to process content to provide the service and for other purposes described in its privacy terms. See OpenAI's privacy policy. Contact us if you have a concern or wish to object to this use of your information. Our enquiry and service workflow does not make decisions with legal or similarly significant effects about you solely by automated means.

Cookies and advertising measurement

Use Cookie Preferences on this website to review or change Performance and Analytics and Advertising choices. Necessary functions support the website, security and saved preferences. Completing an enquiry does not subscribe you to marketing. reCAPTCHA helps protect forms from spam.

Google Analytics and Google Ads help measure website use and advertising results. Enhanced conversions are enabled: our Google tag is configured to detect email addresses, telephone numbers, names and addresses entered on the website and hash supported information for matching and conversion measurement. Hashing is not anonymisation. Website activity also contributes to Google audience lists. A telephone-link click records a click, not proof that a call took place. See Google's privacy policy.

International processing

Our providers process information outside the UK, including in the European Economic Area and United States, and other countries where they or their service providers operate. The relevant provider terms describe adequacy arrangements and contractual safeguards for these transfers.

Squarespace, Google and Microsoft describe use of the UK Extension to the EU–US Data Privacy Framework where applicable and contractual safeguards for other covered transfers. OpenAI describes adequacy arrangements and standard contractual clauses with the UK Addendum. Xero describes adequacy arrangements, including New Zealand, or appropriate contractual safeguards. Metricool states that it stores data in the EU. Windsor's processing terms describe safeguards for international transfers, and Apollo's data-processing terms include UK transfer provisions.

You can request information or copies of safeguards relevant to your data from us. Provider details are available in the Squarespace DPA, Google transfer framework, Microsoft privacy statement, OpenAI privacy policy, Xero privacy notice, Metricool privacy policy, Windsor processing terms and Apollo DPA.

How long we keep information

Our normal retention policy is:

  • Unsuccessful enquiries: 12 months after the last substantive contact.

  • Routine completed-job administration: 6 years after completion.

  • Routine feedback: 24 months after receipt.

  • Accounting records: normally 6 years from the end of the relevant company financial year.

Technical records may need longer retention for equipment support, safety or contractual reasons. Relevant information may be retained longer for legal obligations, an active dispute or a preservation requirement. These periods guide our review and deletion; they are not a promise that every backup or supplier copy disappears on the same date. Backup, security and recovery copies may persist under provider retention processes. We consider the purpose, sensitivity, legal requirements and availability of deletion controls when deciding what must be kept.

Our checked Google Analytics settings are 2 months for event data and 14 months for user data, with user retention reset on new activity. These settings do not cover every aggregated report or Google Ads record. The All Users of Premier LEV advertising audience has a 540-day membership setting. AI conversation retention depends on deletion actions and the provider's security, legal and de-identification rules.

Your choices and rights

Depending on the circumstances, you can ask to access or correct your information, erase it, restrict its use, or receive portable information. You can object to processing based on legitimate interests and always object to direct marketing. Where we rely on consent, you may withdraw it without affecting earlier lawful processing. Contact sales@premierlev.co.uk; we may need proportionate information to verify your identity. Some information must be retained for legal or other justified reasons. If you do not provide information needed for an enquiry or agreed work, we may be unable to respond fully or deliver it.

Complaints and updates

Please contact us so we can investigate a privacy concern. You can also complain to the Information Commissioner's Office or call 0303 123 1113. We will update this notice when our practices change and show the revision date above.
